Essential Preparation

Visas and Travel Advice
It is the personal responsibility of all conference delegates to check visa requirements for entry into Spain. Participants are strongly advised to allow ample time to make the necessary arrangements prior to travel.

In recent months, there have been instances where visa processing times for entry into the Schengen Area have taken longer than expected for certain nationalities. Regardless of your country of origin, it is therefore essential that you initiate your visa application in a timely and professional manner.

Delegates from countries requiring a Schengen visa should apply through the relevant Spanish consulate or authorised visa application centre in their home country. Please ensure that all supporting documentation, including invitation letters (if required), accommodation details, and proof of travel arrangements, are prepared in advance.

Please note that the Conference Organising Committee accepts no liability for delegates whose visa application is delayed or declined for any reason. Transport arrangements, accommodation bookings, and travel insurance remain the sole responsibility of individual participants.

Entry Requirements and Documentatio
Delegates should ensure that their passport is valid for the required period beyond their intended stay in Spain. For many nationalities travelling to the Schengen Area, passports must be issued within the last 10 years and valid for at least three months beyond the planned departure date.
Travellers are encouraged to check the latest entry requirements, including any upcoming systems such as ETIAS (European Travel Information and Authorisation System), which may apply to visa-exempt visitors in the near future.

Health and Travel Insurance
It is strongly recommended that all delegates obtain comprehensive travel insurance prior to departure. This should include coverage for medical expenses, travel disruption, and personal belongings
Participants are also advised to review any health-related requirements or recommendations before travelling to Spain. Citizens of the European Union may use the European Health Insurance Card (EHIC), where applicable, but this should not replace full travel insurance.

Currency and Payments
The official currency in Spain is the Euro (€). Most establishments in Barcelona accept major international debit and credit cards; however, delegates may wish to carry a small amount of cash for convenience.

Climate and Clothing
Barcelona enjoys a Mediterranean climate, typically characterised by warm temperatures and moderate humidity. Delegates are encouraged to check the weather forecast prior to travel and pack accordingly, particularly if planning to explore the city beyond the conference programme.

Local Transport and Accessibility
Barcelona has a well-developed and efficient public transport system, including metro, buses, and taxis. The conference venue is easily accessible from key transport hubs, including Barcelona–El Prat Airport.
Delegates are encouraged to familiarise themselves with local transport options in advance to ensure smooth travel within the city.

Emergency Information
In case of emergency, the general emergency number in Spain is 112, which is available for police, medical, and fire services.

Regardless of where you are travelling from, it is advisable to take sensible precautions to ensure your personal safety and well-being during your visit to Barcelona.
